Review of all vendor contracts as well as confirm details with contracted vendors. Please note that Blissful Occasions will not re-negotiate any vendor contracts throughout the planning process.
Act as the primary liaison with all contracted vendors.
Detailed timeline questionnaire to better help us understand the details and vision of your big day and creation of a detailed wedding day timeline – typically created months in advance!
Distribution of wedding day timeline to all vendors.
Assistance in creating a layout and floor plan for the wedding.
Coordinate ceremony rehearsal. For weddings with more than 70 guests.
Arrange for personal flowers to be delivered to a hotel or location where the bridal party is getting ready.
Greet vendors upon their arrival to set and answer any questions.
Meet with banquet captain to review details on the timeline as well as confirm any special needs in regards to food restrictions and allergies.
Set up of basic personal ceremony and reception items.
Ensure that both the ceremony site and reception room is set up to the expectations of the bride and groom.
Confirm the music that musicians will play during the ceremony and reception as well as start times for each piece of music. Determine what hand signals will be used to cue musicians and/or DJ.
Line up the bridal party for all event entrances and assist DJ or musicians by queuing specified milestone music.
Assist in post-ceremony photo coordination in partnership with the photographer(s).
Assist guests in finding their tables.
Assist in the proper signage of the marriage license.
Cue band/DJ, Photographer, Videographer, and the couple when important events take place during the reception.
Prevent and fix any hiccups that may arise during the wedding.
Distribute final payments/gratuities to vendors at the end of the evening. No negation in the terms of vendor contracts will be handled by Blissful Occasions.
Pack up gifts/cards, miscellaneous ceremony, and reception items and have them placed in a family member’s car at the end of the night.
Note: Day of Coordination includes eight hours of coordination on the day of the wedding. Additional hours can be purchased for an additional fee.
